Copyright Permissions
The provisions of the Copyright Act govern The College policy on the photocopying of published material for classroom use.

Single copies of the following type of copyrighted material can be made for faculty for their own use or that of their students; an article from a periodical or newspaper; a short story, short essay or short poem, whether or not from a collected work; a single chapter from a book.

Multiple copies for teaching purposes are subject to the following constraints:

The copying of a completed article, story or essay is permissible provided that the work does not exceed 2,500 words. No more than 1,000 words may be copied from prose excerpts from larger sources.

Multiple copies are not subject to the above constraints if a copyright permission is obtained from the publisher.  This permission should be submitted to the Print Shop/Reprographic Department together with the work to be duplicated.

To obtain copyright permission, write to the publisher of the material you wish to use and include the following information;

  • Name
  • Date
  • Faculty position or title
  • Name and number of course
  • Academic term
  • Publisher
  • Date of Publication
  • Page Numbers to be copied
  • Number of copies to be made
  • Delivery Address
  • Signature

Faculty is urged to plan their reading lists with this information in mind and to request copyright permission well in advance.

Work Request Forms
Requests for Print Shop services must be accompanied by a completed Work Request Form, which must be approved by the department director or chairperson. Work Requests submitted to the Print Shop for books, booklets, pamphlets or newsletters must be pre-approved by Design Services and will be reviewed for necessity, format and sufficient departmental allocation.

Please contact Phil Halsey at extension 3238 to discuss your print requests early in the planning process.

With the installation of the new digital copiers, micro press and scanner, the Print Shop can now print from a hard copy, email and/or disk. If you wish to have your copies made from a disk, please send the disk with the completed work order, outlining the name of the file to be copied.

To guarantee exact duplication, the file must be sent as a PDF.

Design Services
Typesetting, graphic design/layout and computer generated artwork services are available through the office of Design Services. For assistance, please complete a Design Services Requisition Form and contact Janice Awerbuch-Director of Design Services at extension 2266.

Mailing Specifications
Printed material to be mailed, particularly if utilizing the College’s Bulk Mail or Business Reply Mail accounts, should be reviewed with Michael Daloia, Mailroom Supervisor at extension 3227, as these pieces must be designed and produced according to specific U.S. Postal Service guidelines.

Helpful Hints
Printing generally involves different paper and more processes in preparation, reproduction and finishing than does routine copying.
Advance planning is the key to a successful printing project.

Provide the Print Shop with “Camera Ready” artwork. Clean copy, straight text, even columns and a test folded mock-up all contribute to a quality product with faster turnaround.

Proofread the material several times. If possible, have other people check it as well. Do not wait until the job is in production to check for composition, punctuation, or spelling errors. The Print Shop staff is not responsible for style, accuracy, grammar, corrections or spelling of material.

Please Review the amount of copies needed before requesting your job.
Many people underestimate the quantity of pieces they need and require reprints at a later time.

This is usually not a problem, but the job always averages a higher per piece cost if printed in two quantities at two separate times. Also, the second printing may be delayed due to production levels and requirements.

Remove all post it notes and staples
Do not fold originals
Clearly mark the Work Request Form as a Test or Exam when necessary

Delivery and Pickup
Completed work is normally delivered by the Print Shop and the Mailroom.

Walk-In Jobs
Allow enough time before your class when bringing walk in jobs, as the copy machines might be occupied with large copy jobs that cannot be interrupted.

Business Cards
The Office of Design Services performs the designs and preparation of camera-ready artwork for Business Cards. Please complete a Business Card request form and forward to Janice Awerbuch-Director of Design Services.

Letterhead and Envelopes
Reprographics does not maintain supplies of College of Staten Island letterhead and envelopes for all departments. These items can be ordered by completing a Reprographics Duplication Order Form, attaching a sample and submitting it to the Print Shop office in Building 1M-204.

All changes to Business Cards, Letterhead and Envelopes must go through Design Services.
