Survey Planning
The Office of Institutional Research and Assessment (OIRA) can assist with the development and administration of surveys. Before contacting OIRA, use the questions in the table below to help guide our conversation regarding the proposed survey. | Timing of Survey | When do you want to send out the survey? |
| How contacting them | Will the survey link be communicated via email or at an in-person event? |
| How many people will be contacted? | Survey emails to large groups (over 1,000) require additional steps, so knowing the amount of people to be contacted is important. |
| Reporting | Is there a specific point in time that the survey results are needed, such as for writing an annual report or for a specific meeting. |
| Use of Results | How will the results be used? Will it be shared? |
| Frequency | Will this survey be done once or on a regular basis? |

Survey Tools
Microsoft Forms
Microsoft Forms is a web-based tool for creating and sharing surveys, quizzes, polls, and other types of online forms. It is included with Microsoft 365 and allows users to collect responses in real-time, view instant results through built-in analytics, and export data to Excel for further analysis. Users can customize forms with different question types, themes, and branching logic, and share them via a web browser or mobile device.
Qualtrics
Qualtrics is a cloud-based survey tool that helps faculty, staff, and students, build and distribute surveys, view reports, and analyze responses. Qualtrics has helpful information on their website.
- New Users - To request a Qualtrics account complete the CSI Qualtrics Request Form. The form will be submitted to the Office of Institutional Research and Assessment, who will review your request and contact you once your account is created. Please allow 1-2 business days for your request to be completed. If you have any questions about receiving a Qualtrics account contact survey@csi.cuny.edu.
- Accessing Qualtrics - Once you have an approved account, you can access Qualtrics from the following site. Click on ‘CSI User Login’ , and login using your CUNYfirst credentials. You will be asked to authenticate your account.
- Qualtrics Help/Support Features
- 24/7 live technical support is available by clicking "Contact Support" in the top right corner of the Customer Success Hub. You can also reach the Customer Success Hub by logging into your Qualtrics account, clicking the waffle icon (9 dot square) in the top right corner of the screen, and clicking Customer Success Hub in the drop down.
- qualtrics.com/support has a search engine providing written technical support (Support Pages) which can be used for how-to guidance on navigating the platform.
- XM Basecamp houses on-demand training videos, live training videos/webinars, and certification courses. While the content is free, the certification exams do come with an additional fee.
- There is a Qualtrics Online Community as well as a Higher Education Community that serves as a place to network and collaborate with other users, keep up to date on product updates, submit feature requests, and get access to additional resources such as Qualtrics Survey Formats and webinar recordings.
